Volunteer: Reception Team

The Reception team is an essential role at the Convention, you will be the welcoming face of Keswick Ministries, creating a positive first impression for those seeking assistance on site or at the end of a phone.

As the Reception team, you will be responsible for greeting Conventioners, answering a wide range of questions, providing directions, and distributing materials such as programmes, badges, or printing for teams.

Reports to: Reception Lead

Team Size: 5-6 individuals

Specific Tasks Include

  • Act in a professional manner to warmly help conventioners and other volunteers
  • Answer a wide variety of questions about the programme and venues 
  • Answer the phone and pass on messages to Staff and contributors
  • Take donations and payments for sundry merchandise and tickets operating the PDQ machine
  • Asist in admin tasks such as photocopying and laminating
  • Assist parents with registration for Kids and Youth programmes
  • Be part of daily team prayers  
  • Use the event radio to contact Event Control in case of emergency
  • Support other teams as needs arise  
  • Assisting with whatever is needed behind the scenes
  • Taking card donations and assisting supporters with giving online via a Point of Sale terminal and card reader (full training given)

Key Qualities:

  • Ability to use payment machines (full training given)
  • Some computer knowledge and ability to pick up quickly
  • Flexibility
  • Professional manner in dealing with people in person or over the phone, remember you are representing Keswick Ministries
  • Have lots of enthusiasm for teamwork  
  • Have excellent communication skills  
  • Enjoy talking to people and be good at problem solving quickly 
  • Enjoy helping people with their enquiries  
  • Have physical strength for running errands as needed 
  • Have a good level of spoken English
  • Be ready to support other teams if/when a need comes up

Location and Schedule

  • Reception is located in the Admin Block on the Pencil Factory site.
  • You will have two shifts per day with breaks. The shift timings are as follows:     
    • 8:30 – 1:00 (4.5 hours)
    • 1:00 – 5:30 (4.5 hours
    • 6:30 – 10:30 (4 hours)

Volunteer Requirements

Volunteers are required to:

  • Be aged 18 years or older
  • Be a committed Christian who is regularly attending and active in a local church
  • Be able to complete an online application and provide details of 2 referees – one who must be a leader within your church. Neither can be related to you.
  • Be able to obtain a clear enhanced DBS check for Keswick Ministries
  • Confirm agreement to and abide with the Keswick Ministries beliefs, values & code of conduct
  • Complete necessary training prior to arrival on site
  • You will be expected to arrive in time for a briefing and training meeting on Saturday afternoon, and then be on duty each day until departure the following Saturday morning

Full-time volunteers will receive:  

  • Free allocated accommodation
  • Three meals a day
  • Reimbursement of reasonable travel expenses
  • Unlimited Tea and Coffee from the Team Lounge

Part-time Volunteers will recieve:

  • One shift a day
  • Reimbursement of reasonable travel expenses  
  • Access to Team Lounge for unlimited Tea and Coffee
